Organizing evidence

Ok so I am sure my post will be moved to a different forum since it's not only related to sub-haran but instead everyone on this journey but none the less I want to get it posted :) Ok so for the NVC stage (not at all there yet but trying to get prepared) when it's time for my hubby to take evidence here is how I was going to organize it:

Divide everything month by month and in each "month" section have chats/emails/letters/call records for that month

EX: (August 2011 section) will have all chats from that month, all letters etc. from this month, call records from that month and on and so forth

and then a picture section

or

do I need to divide it up by all like items?

section for chats

section for call records

section for emails

section for pics

thanks in advance!

Ps I have heard a few ways to do it just want to hear what a few more people did before I decide how we are going to do it! :)

I would divide up the items but not by months. Make it as simple as you can, a sectioned folder so he can very quickly and easily present whatever will

be asked for without fumbling around looking for it. Not too many clips, folders and frills, but simple and easy for quick handling. They don't like to see someone standing there trying to dig for something wasting their time. As long as he knows what is where with his eyes closed B-)

Make it simple. Divide by items first (like your email folder) then use post it sticky's or quick tabs to divide each section by month.

If the CO asks for emails, they are going to want to see them all and scroll through them. Same for phone records, etc.

Hope that helps!

I agree to divide by items, not months. Then within each item, organize that by month.

I divided our documents using your 2nd choice, by items. I put them all in an accordian type folder. For the forms, I separated the ones I filled out for myself (i.e., G325/I-864) and the ones needed for him (i.e. G325A/DSS-230)...with each form I still placed the supporting evidence like his birth cert, police cert with the DS-230, and so on.

Funny thing is though when he received everything he re-arranged items the way it would make it easier for him to find. But I didn't mind that at all because I was stressing myself on making it easier for him :bonk:

I wouldn't break things down on a month by month basis. What I did was to put all the emails stuff together (by stapling), put all the call logs together (stapled), all pics together in a zip lock bag, etc. That way, when they ask for proof, he pulls everything out all at once and he doesn't have to go around digging. Make it as simplified as possible. It will help keep things smooth, simple and easy.

Just divide up in categorigories for presentation. Be sure you tell your husband don't wait to be asked foe evidence but show it as asked.

CO: So how many times your wife visit:

Husband: Bam here's her visa stamps and oh heres a picture of our wedding visit, and her other visit, etc.

CO: Does she have children:

Husband: Bam here's my babies see us talking on SKYPE

Get the picture. izzzy pizzy access.:D

I was going to say thank you to each of you individually but by George I think the easy peasy has won LOL...so thank you everyone I will go with option 2...I know sometimes what may seem "simple" to me (in my brain) can be very confusing to someone else like my hubby or a CO... (guess that is what I get for being left handed lol...b/c honestly option one for me seems easier...but as I read your posts I see how option 2 can be the best for the embassy and hubby...thank you again....ok now time to back up and get the I-130 filed in the next week!

On things that have the important data comingled with general stuff. Take time to highlight the import one ( phone calls are a biggy ) Also if you can make a spreadsheet with the totals by month to show how much you guys talk. I also created 2 files, one of original documents ( the ones I wanted to keep ) and one of the copies. So if they wanted something they could keep any copy they wanted and I still got my originals back.

This will not be over quickly. You will not enjoy this.
