when to set up interview bogota embassy

Quick update, so my fiance and I have received notice that our paperwork was sent out from NVC to bogota embassy. I checked online and it says it is "ready" but when I emailed the bogota embassy they said it was been electronically transferred but the physical copy has yet to arrive.

a few questions.

i have heard some people wait for the physical copy to arrive before setting up the interview but others do not and just make the interview appointment. advice on this?

more importantly: how often does it usually take for the colombian embassy to receive the physical copy of my packet?
